Junior Management Assistant

Responsibilities

  • Report to the Group Business Support Leader
  • Provide general business and administrative support to the Executive Committee Members
  • Provide an initial and ongoing contact point for external contacts, staff and clients
  • Support in planning and coordinating internal and external communication plan
  • Increase Executive Committee members' effectiveness and productivity by taking over organizational routine and issues (logisitic, facilities, IT)
  • Build an excellent communication with other department executives/other operations and provide useful feedback
  • Streamline the communication and therefore the sharing of information within the Group
  • Cost saving : centralize travel bookings and expenses in order to have a better control on costs

Tasks

  • Provide active business support to the members of Executive Committee
  • Responsible for dealing with a wide range of enquiries and correspondence – working autonomously and escalate to the Group Management Business Support Leader where necessary
  • Arrange internal and external meetings , book facilities/equipment
  • Make business travel arrangements (flights, hotel bookings)
  • Diary management as required
  • Provide revision and proof-reading services for standard documents
  • Doing internet research
  • Contribute in documentation
  • Support in preparation of meetings and external events and ensure occasional physical presence  
  • Support in creating presentations and brochures when required/highlight reports for project
  • Draft and edit communications copy (press releases, publications, social media posts) as required
  • Act as a link between Group operations and Management team
  • Take overflow work from Group Mgt Support Leader

  • High level of commitment and “can do” attitude
  • Maintain and promote the highest standards of quality
  • Good English and French, perfect spelling
  • Be able to share and promote SGG values by showing a positive behavior
  • Very good sense of humour  and willing to have fun as part of the job
